A "Signature management system" is a system designed for centrally maintaining and distributing consistent, branded, email signatures for staff at an organization. It usually is integrated with the mail server.

Benefits

  • Automatic
    • User signature content can be pulled from the firm's existing Exchange server contact records or Gsuite contacts.
    • Users signatures are always up to date.
      • Users never have to install a signature. (An Outlook plugin handles it.)
      • Users signatures are always consistent.
  • WYSIWYG editor
    • Admin can edit and design sigs without the need for coding.
    • Reliable web safe code generated.
    • Could even add banner ad style links to latest blog posts or alert style notices
  • Firm owned account/product
    • Billed directly to the firm

Caveats

  • Microsoft Exchange Server 2010
    • Has a 9kb/5000 character limit for signatures. This is *very* small.
